Job Purpose (is two-fold):
- Ensure accuracy and timeliness of updating the organization’s donor and membership database.
- Provide membership services to the network of HLAA Chapters across the country by assisting the director of chapter development.
Job Summary:
The Program Assistant is responsible for the integrity and accuracy of information that is entered into the organization’s database, Raiser’s Edge. This includes batch entries of donations, memberships, convention registrations and more. He or she is also responsible for running queries/reports out of the database for membership which includes new member and renewal reports, creating new member packets and ensuring timely and accurate renewal information.
Program Assistant is responsible for collecting membership data from HLAA Chapters, coding incoming HLAA memberships for Chapter potentiality, and generating monthly distribution reports for both internal and Chapter personnel, as well as assisting with maintenance of the Chapter/State Association section of hearingloss.org.
This position is one of the public faces of HLAA when interacting with membership and HLAA Chapters.
Essential Duties and Responsibilities:
- Update Raiser’s Edge (RE) database with constituent information, including changes in mailing address, preferred contact information, memberships and attributes.
- Enter incoming gifts into Raiser’s Edge database and allocating them to the proper fund and appeal, while providing data additional verification.
- Process new members and renewals using Raiser’s Edge and merging into Word to create mailings, as well as assembling individual packets for postage.
- Updating Raiser’s Edge database; i.e. download various transactions from NetCommunity (donations, memberships, convention registrations, and record updates) and batch those transactions into Raiser’s Edge, ensuring accuracy of that information.
- Maintain records of leadership and contact information for HLAA Chapters (includes emailing list).
- Coding members for regional Chapter potentiality in Unified Membership Program.
- Provide HLAA Chapters participating in the Unified Membership Program with reports and calculating refund amounts.
- Verify annual chapter filings of IRS 990 forms; assignment of EIN, etc.
- Assist with Convention preparation registration duties in the office and on site if needed.
- Answers phone and answers email inquiries related to chapters.
- Provide assistance with special projects.
Education and Experience:
- Bachelor’s degree preferred or commensurate experience working in a nonprofit, membership organization.
- Strong communication skills
- Microsoft Office proficiency; Excel, Word, Outlook, etc.
